Administrative Assistant
Supports departmental operations through administrative assistance, communication, scheduling, recordkeeping, and customer service for students, faculty, staff, and visitors while promoting efficient office operations.
Qualifications:
Education/Certification:
- High School diploma or educational equivalent; Associate degree preferred
Work Experience
- One year of clerical, office, or related work experience

Major Responsibilities and Duties:
- Provide administrative support to assigned department leadership, faculty, and staff.
- Schedule meetings, maintain calendars, and coordinate departmental activities and events.
- Maintain accurate electronic and physical filing systems in accordance with departmental procedures.
- Gathers, compiles, enters, and updates data to prepare routine reports, correspondence, and departmental documents.
- Answer and direct telephone calls, greet visitors, respond to inquiries, and provide information or assistance to staff and the public in a professional and timely manner.
- Serve as a point of contact for students, employees, and community members seeking departmental information.
- Assists with budget-related activities such as preparing requisitions, tracking expenditure, processing invoices, collecting payments, and maintaining financial records.
- Processes incoming and outgoing mail, including sorting, distributing, and preparing correspondence and packages for delivery.
- Operates standard office equipment including copiers, printers, fax machines, and multi-line telephone systems.
- Assists with organizing events, meetings, training, and other departmental activities.
- Ensure compliance with college policies, procedures, and applicable regulations.
- Ensures confidentiality of sensitive information and maintains professionalism in all interactions
- Perform other duties as assigned in support of departmental and institutional goals.
Salary:
Commensurate within the Texarkana College pay scale for position.
